Hours of Work: Monday–Friday, 8:30 am to 5:00 pm or 9:00 am to 5:30 pm.

Position Summary
The Training Program Coordinator position is essential to the infrastructure and growth of our
A.L.I.V.E. Active Shooter Survival Training program. In this role, you must be meticulously
detailed and organized to ensure the accurate and timely delivery of our various training
options, including Instructor Training, In-Person Training, Virtual Online Training, and eLearning
Training.

Primary Responsibilities

  • Assist the Sales Team with the closing and payment of proposals/agreements with clients.
Coordinate all monthly T3 Instructor Courses:
  • Confirm dates with all incoming instructors.
  • Ensure all instructors have paid for the course.
  • Print and send all necessary training materials (booklets, documentation, books) to incoming instructors one week prior to the course start date.
  • Ensure that all incoming instructors receive the final exam within the course at the proper time.

Instructor Onboarding (upon graduation of T3 Instructor Training):

  • Issue Instructor Certificates to those who passed the course.
  • Schedule onboarding calls with each instructor individually.
Create and maintain an onboarding checklist:
  • Portal sign-up and profile setup with photo.
  • Monthly membership sign-up ($50/month; credit card on file in the portal).
  • Provide a virtual tour of the portal site to identify all resources.
  • Sign up for the next Instructor Zoom call.
  • Guide instructors to their affiliate link dashboard and demonstrate how to
  • obtain their links.
  • Create affiliate link QR codes and send them to the instructor via email.
  • Create a personalized instructor flyer.
  • Order business cards.
  • Order shirts and other A.L.I.V.E. products per the instructor's request.

Coordinate In-Person or Webinar Training:

  • Confirm dates with clients and instructors; add to the calendar.
  • Confirm via email the rate of pay and any travel pay that A.L.I.V.E. will owe to the instructor for teaching the course.
  • Ensure the instructor has the necessary sign-in and feedback forms to distribute and collect.
  • Follow up with the instructor after the course to ensure copies of course
  • evaluations are properly uploaded to the portal.
  • Follow up with the client to ensure all expectations were met.

Online eLearning Courses:

  • Monitor the Thinkific site weekly to approve or disapprove course reviews.
  • Upon approval of positive reviews, document them on a review tracking sheet for marketing purposes.

General Day-to-Day Tasks:

  • Review and respond to emails daily from clients, instructors, and company staff.
  • Book travel, run errands, organize calendars, and attend meetings as needed.
  • Monitor product inventory and provide monthly inventory reports.
  • Assist in proposal writing to support sales efforts.
  • Organize and enhance A.L.I.V.E. marketing and instructor materials in the company shared drive.
  • Provide a weekly summary of accomplishments during one-on-one meetings with management.
  • Create invoices, follow up on payments, coordinate with accounting on incoming invoices, and manage accounts receivable as directed.
  • Create, update, and maintain Standard Operating Procedures (SOPs) for this role.
  • Adhere to company core values.

Skills and Abilities

  • Ability to take and follow directions without micromanagement.
  • Typing speed of at least 50 words per minute.
  • Excellent phone skills; must manage callers and provide information effectively.
  • Intermediate knowledge of Microsoft Office products (Word, Excel, Outlook, PowerPoint).
  • Proficient in internet research.
  • Strong communication skills.

Required Education and Experience

  • High school diploma.
  • 2–4 years of administrative experience preferred, or equivalent experience demonstrating the ability to take direction, think critically, and execute tasks effectively.
