The Administrative Assistant is responsible for collaborating with colleagues from all departments and teams in support of our growing employee population, specifically in the areas of general administrative support, front desk, travel, event planning, and special projects. Updates and maintains visitor and customer information and provides reports and analysis as requested. Serves as a back-up for HR, Finance and other team members when needed.

Essential Functions

• Creates Positive First Impressions – Greets customers, vendors and visitors to MDE, fulfilling all check in procedures, ensuring confidentiality and proper access to facilities during regular business hours. Orders meals for guests and internal staff as directed and ensures there is sufficient food/drinks and supplies to keep refrigerators and guest supply areas stocked. Displays a helpful and positive approach and supporting all activities that contribute to a positive visitor experience for all.

• Keeps General Supplies Stocked – Orders and stocks general office supplies such as paper, pens/pencils, folders, etc. Also orders sufficient supplies for employee breakrooms and conference rooms to be stocked. Collaborates with management to strike a delicate balance between employee wants and needs in order to limit unnecessary costs while ensuring office supply needs are fully met.

• Coordinates and Books Travel as Requested – Works with leaders and managers to support efficient and cost effective travel bookings. Supports employee, contractor and candidate travel, and will book travel for and on behalf of others for employee blocks, or when requested with completed travel request form. Collaborates with HR Director to revise and update travel policies as necessary. •

Serves as a Go-To Resource for Special Projects – Welcomes the opportunity to lend a helping hand and be an additional resource in support of special projects that arise in the People & Culture team, with the General Manager or any other department with a need. Is quick to raise your hand, volunteer to help and lend administrative support to leaders/managers as necessary or requested

Location: Englewood, Colorado and does require on site working conditions

Salary:     $20-$25 per hour based on experience
